At Stillwaters, we are committed to transparent, flat-rate pricing so you know exactly what to expect. Our fees cover the full evaluation process, with no hidden costs beyond what is listed.

We operate as a private-pay practice. While we do not bill insurance directly, we can provide a Superbill upon request that you may submit to your insurance provider for potential out-of-network reimbursement. Reimbursement is not guaranteed and varies by plan.

Private pay offers important benefits for privacy, flexibility, and the quality of your evaluation.

Greater Privacy & Confidentiality

Your assessment results are not automatically shared with insurance companies or added to a centralized medical database. You maintain greater control over who receives your information and how it is used.

No Insurance Restrictions

Insurance plans often limit the types of testing they cover or require specific diagnoses before approving services. Private pay allows your clinician to select the most appropriate tools and dedicate the necessary time without external constraints.

Faster Access to Care

Without delays from prior authorizations, denials, or utilization reviews, most clients can schedule evaluations sooner and receive results more quickly.

Comprehensive, Individualized Assessments

Evaluations are tailored to your specific concerns and referral questions, rather than being limited to what an insurer will approve. This supports accurate diagnosis and meaningful recommendations.

Clear, Actionable Reports

Reports are detailed, integrated, and written to be understandable to you and your providers, with practical next steps for treatment, accommodations, or planning.

No Surprise Bills

All fees are clearly disclosed upfront. There are no unexpected charges from denied claims or uncovered services.

Private evaluations are often the most effective route for obtaining school or workplace accommodations, which insurance rarely covers comprehensively.

Evaluation Fees & Policies

Intake Appointment

  • Fee: $300 (non-refundable)
  • Applied Toward Evaluation: Yes, if you proceed with testing
  • Cancellation: If the intake is missed or canceled with less than 7 days’ notice, the fee is forfeited and a new $300 payment is required to reschedule.

Testing / Evaluation Appointment

  • Deposit: $500 (non-refundable)
  • Remaining Balance: Due 3 days before testing begins
  • Late Cancellation: If testing is canceled or rescheduled with less than 7 days’ notice, the deposit is forfeited and a new deposit is required to reschedule.
  • No-Shows: Missed appointments result in forfeiture of the deposit.
  • If significant preparation has already occurred (e.g., test selection, scoring setup, protocol creation), associated time may be billed at $250/hour, prorated in 15-minute increments.

Feedback Appointment

  • Balance Due: All balances must be paid prior to the feedback session.
  • Late Cancellation: Feedback appointments canceled with less than 48 hours’ notice or missed (no-show) incur a $150 rescheduling fee.
  • Clients who waive or do not attend feedback remain responsible for the full evaluation fee. Reports are only released after the feedback session is completed.

Document Review Policy

Comprehensive record review is an important part of the evaluation. The standard evaluation fee includes review of up to 20 pages of documentation or up to 45 minutes of clinician review time (whichever comes first).

If records are extensive or highly technical and require additional time, document review beyond what is included may be billed at $250/hour, prorated in 15-minute increments. You will be notified before any additional fees are incurred and may prioritize which materials should be reviewed first.

Whenever possible, please submit records in digital (PDF) format before the testing appointment to allow adequate preparation time.

Additional Services After Report Completion

Post-evaluation services are billed at $250 per hour, with a 30-minute minimum. These services may include:

  • Report addendums or clarifications
  • Updated recommendation letters or documentation for schools, workplaces, or other agencies
  • Consultation with providers, schools, employers, or legal teams (with your written authorization)
  • Participation in student support, IEP/504, or workplace meetings

Fees for additional services are discussed in advance and are due before these services are provided.

Insurance & Reimbursement

Stillwaters does not bill insurance directly. However, you may request a Superbill after your evaluation to submit to your insurance company for potential out-of-network reimbursement.

Reimbursement is not guaranteed and depends on your specific plan, deductible, and out-of-network benefits. You are encouraged to contact your insurance company in advance to ask about coverage for psychological and neuropsychological testing.

Flat-rate pricing ensures predictability and fairness. Your fee includes the full evaluation process—intake, testing, scoring, interpretation, report writing, and feedback—so there are no surprises.

Bariatric Surgery Clearance Evaluation $1,250 Clinical interview, cognitive screening, and personality/emotional functioning measures, with an integrated report addressing psychological readiness, adherence factors, and other variables relevant to surgical outcomes
Academic Accommodation Letters Included in evaluation cost Provided as part of a comprehensive evaluation when clinically appropriate

Note: The initial $300 intake fee and $500 testing deposit are applied toward the total evaluation cost according to the policies described above.

What Your Evaluation Includes

Your flat-rate fee reflects the time, care, and expertise that go into a comprehensive assessment. A typical evaluation includes:

  • Clinical intake to understand your history, current concerns, and goals for the evaluation
  • Development of a tailored testing plan based on your unique needs
  • Standardized testing administered via secure telehealth and/or in-person (hybrid) sessions
  • Scoring and psychometric analysis of all measures administered
  • Integrated report writing, including interpretation of cognitive, psychological, and (when applicable) academic data, diagnostic impressions, and individualized recommendations
  • Document review, including up to 20 pages of records or up to 45 minutes of clinician review (whichever comes first)
  • Collateral interviews (e.g., with parents, partners, or key supports) when appropriate
  • Case formulation and individualized treatment or support planning
  • Feedback session to review results, discuss diagnoses (when applicable), answer questions, and collaborate on next steps
  • Communication with referring providers or other professionals, with your written authorization

The fees you see on this page reflect a comprehensive, neuropsychologically informed approach. Many lower-cost options provide brief screenings or limited testing that may not answer your questions fully—or may require repeat evaluations later.
